What property management accounting actually includes

Trust and escrow accounting kept separate from operating money. Security deposits and owner funds are not yours. They belong in a trust account that reconciles three ways — bank balance, book balance, and the sum of what you hold for each individual owner and tenant. If those three numbers do not agree, you have a problem that grows quietly.

Owner statements people can actually read. Every owner should be able to see the rent collected on their property, what came out of it, what was held back, and what was distributed — without calling you. When statements are wrong, owners leave; and they usually go wrong because property-level detail was never kept properly in the first place.

Property-level profit and loss, not a lump. A portfolio P&L tells you the business made money. A per-property P&L tells you which building is carrying the others. Only one of those helps you decide what to sell.

CAM reconciliation, if you manage commercial. Common area maintenance gets estimated monthly and trued up annually. Doing the true-up from records that were never structured for it is where most of the pain lives.

The property management software reconciled to the accounting file. AppFolio, Buildium, and the rest hold the operational truth. QuickBooks holds the financial truth. When they drift, both become unreliable, and nobody notices until a year-end.
