What no platform decides for you

Whether the books tie to the bank. Every platform here has reconciliation tooling, and on every platform we meet books that have not used it in months. The feature existing is not the control operating. If the last time someone proved the ledger against a bank statement was two quarters ago, it does not much matter which logo is on the login page – the warning signs look identical on all three.

Whose money is whose. Managing property for others makes you a fiduciary. The trust bank account, the liability ledger, and the sum of every owner and tenant balance have to agree monthly – three-way trust reconciliation. AppFolio gives you the most machinery for this, but machinery is not the same as the reconciliation being done, and in most states it is a legal obligation.

The honest answer is that the built-in accounting is rarely the problem – the gap between the platform and the actual bank statement is.

Do I still need QuickBooks if my platform does accounting?

For the corporate entity, usually yes. Platform ledgers are built around properties and owners, not around your own operating company – payroll, overhead, loans and distributions still need a set of books, and CPAs, lenders and tax preparers expect QuickBooks. DoorLoop syncs to QuickBooks Online directly; on AppFolio and Buildium the connection is typically monthly summaries or exports.

Does switching platforms fix messy books?

No. A migration copies balances, not discipline. If the old platform did not reconcile to the bank, the new one starts life on numbers nobody has proven, and the mess compounds with a conversion layered on top. Reconcile first, then migrate – it is dramatically cheaper in that order.
