Software comparisons of AppFolio, Buildium and DoorLoop are easy to find, and they all compare the same things: features, portals, pricing tiers. This one is different. We keep books for real estate operators on these platforms, and the comparison that actually matters at tax time – or in front of a lender – is what each platform means for keeping the books provably right.
The short version
| AppFolio | Buildium | DoorLoop | |
|---|---|---|---|
| Built for | Professional property managers at scale | Property managers and community associations | Landlords and smaller portfolios |
| Ledger depth | Full trust accounting, per-property GL | Full GL with strong association accounting | Custom chart of accounts, per-property tracking |
| QuickBooks relationship | Lives alongside it – exports and summary entries | Lives alongside it – exports and summary entries | Direct QuickBooks Online sync |
| The bookkeeping risk we actually see | Platform trusted as truth while the bank quietly disagrees | Same – plus association funds mixed into operator books | Two synced ledgers drifting apart with nobody reconciling either to the bank |
We keep a full what-it-handles page on each: AppFolio, Buildium, and DoorLoop.
What no platform decides for you
Whether the books tie to the bank. Every platform here has reconciliation tooling, and on every platform we meet books that have not used it in months. The feature existing is not the control operating. If the last time someone proved the ledger against a bank statement was two quarters ago, it does not much matter which logo is on the login page – the warning signs look identical on all three.
Whose money is whose. Managing property for others makes you a fiduciary. The trust bank account, the liability ledger, and the sum of every owner and tenant balance have to agree monthly – three-way trust reconciliation. AppFolio gives you the most machinery for this, but machinery is not the same as the reconciliation being done, and in most states it is a legal obligation.
Judgment calls. Repair or capital improvement. Owner draw or intercompany loan. Which entity a shared expense belongs to. These decisions set your tax bill, and every platform will accept whatever you click.
DoorLoop vs AppFolio: which fits whom?
If you are only comparing two, the practical difference is usually fit, not features. AppFolio is long established and is commonly used by property management companies running properties for many owners. DoorLoop is a newer platform that independent landlords and smaller operators often consider first. Both handle rent collection, tenant and owner records, maintenance requests and built-in accounting, and both market to more than one audience, so check how each vendor describes your situation. Plans, minimums and features change often, so confirm current details with each vendor before deciding.
- Managing for outside owners: ask each vendor to show owner statements, owner distributions and how trust or escrow funds are handled.
- Managing only your own portfolio: ask how each connects to your accounting software, and what the reports look like by property.
- Moving from another system: ask what the vendor helps migrate and what you will need to clean up first.
How to run a fair comparison
- Write down what you need. Unit count, number of owners or entities, whether you hold trust funds, and which reports your lender or partners expect.
- Demo both with your own scenarios. Ask each vendor to walk through a month of rent collection, a maintenance expense, an owner distribution and a security deposit refund, not a generic tour.
- Look at the reports you will actually use. Can you see profit and loss by property? Do the owner statements show what your owners expect?
- Ask about getting data out. Exports matter if you ever switch platforms or hand the numbers to an accountant.
- Talk to your bookkeeper or CPA. They know what the accounting side needs from the platform.
Bookkeeping that applies on any platform
- Security deposits are a liability until applied or returned. How deposits should be recorded.
- Trust and escrow balances need their own reconciliation. Trust account reconciliation explained.
- Repairs versus improvements are decided in the books, not by the platform. The test for telling them apart.
- Bank reconciliation: the platform’s ledger and the real bank account still have to agree every month.
We do bookkeeping and fractional-CFO work for real estate investors across several platforms. We do not resell software, and we do not prepare tax returns or give legal advice.
Frequently asked questions
Which platform has the best built-in accounting?
All three keep a real ledger. AppFolio is the most complete for professional third-party management, Buildium sits close behind with strong association support, and DoorLoop is the most approachable for smaller portfolios. The honest answer is that the built-in accounting is rarely the problem – the gap between the platform and the actual bank statement is.
Do I still need QuickBooks if my platform does accounting?
For the corporate entity, usually yes. Platform ledgers are built around properties and owners, not around your own operating company – payroll, overhead, loans and distributions still need a set of books, and CPAs, lenders and tax preparers expect QuickBooks. DoorLoop syncs to QuickBooks Online directly; on AppFolio and Buildium the connection is typically monthly summaries or exports.
Is DoorLoop or AppFolio better for a small landlord?
There is no single answer. Both serve landlords and managers, and the right fit depends on your unit count, ownership structure and reporting needs. Request current plans and run a demo using your own scenarios, and confirm features directly with each vendor.
Does switching platforms fix messy books?
No. A migration copies balances, not discipline. If the old platform did not reconcile to the bank, the new one starts life on numbers nobody has proven, and the mess compounds with a conversion layered on top. Reconcile first, then migrate – it is dramatically cheaper in that order.
What should I check monthly regardless of platform?
Three things. Every bank and trust account reconciles to the statement, to the cent. If you hold owner or tenant funds, the three-way check: bank balance, liability ledger, and the sum of all owner and tenant balances agree. And the platform matches QuickBooks wherever both claim the same numbers.
Where to start if you are choosing – or stuck
Choosing between these three? Pick on operations – portfolio size, association work, owner count – because all three can support clean books if the discipline exists. Already on one and not sure the books are right? A drifted ledger is a scoping question before it is anything else: here is how we scope a cleanup honestly, or start with a free bookkeeping review – we will tell you plainly whether you have a problem.
