You have searched for help and found a dozen firms who all say the same three things. This is an honest comparison of what your options actually are, including the ones that are not us.

We keep the books for five property management operations running on AppFolio. We also lose work to some of the firms below, sometimes correctly. So the aim here is to help you pick the right category first, because most of the money wasted on this problem is wasted by hiring the right kind of help for the wrong kind of problem.

First: which problem do you actually have?

These get conflated constantly, and they need different people.

A platform problem. AppFolio itself is set up wrong. Charge codes map to the wrong GL accounts, owner draws are configured badly, the chart of accounts was never designed for how you actually operate. Symptoms: the reports have been subtly wrong since implementation, and nobody can say why.

A capacity problem. Everything is configured correctly and everyone knows what to do. There is simply more work than hours, so it slips, and now it has slipped for eight months.

Hiring an implementation consultant for a capacity problem is expensive and does not fix it. Hiring a part-time bookkeeper for a platform problem means paying someone to re-key numbers that were miscategorized upstream.

Option 1: An in-house bookkeeper

Right when: you are large enough that the work is genuinely full-time, you want someone in the building who answers immediately, and you have someone senior who can check their work.

The catch nobody mentions: a single in-house bookkeeper has no reviewer. Property management accounting has a specific hazard here, which is that trust accounting is regulated in most states and a mistake is not just an error, it is potentially a compliance problem. One person doing the work and checking the work is not a control.

Option 2: An offshore team or a virtual assistant

Right when: the work is high-volume and genuinely routine, the categorization rules are already established, and someone on your side reviews the output.

The catch: this works well for data entry and badly for judgment. The question that breaks it is the one that comes up constantly in real estate: which property was this expense for? A card used across four properties in two entities produces transactions that cannot be categorized from the bank feed alone. Somebody has to ask the owner, and that somebody needs enough context to know the answer matters.

Option 3: A generalist bookkeeper or local CPA firm

Right when: your structure is simple. One entity, a handful of doors, no trust accounting, no owner statements.

The catch: the moment there are owner funds involved, the requirements change and general bookkeeping training does not cover them. Three-way reconciliation, where the trust bank balance, the sum of the tenant and owner ledgers, and the general ledger all have to agree, is not a standard skill. If a candidate has not heard the phrase, that is your answer.

Option 4: A property management accounting specialist

This is the category that includes us, and it is worth naming the others honestly.

APM Help focuses on residential property management, offering trust and corporate bookkeeping, daily bank reconciliations and 1099 filing, working inside AppFolio, Buildium, Propertyware, Rentvine and QuickBooks Online. Option 5: Property management software with no service attached

Right when: you are small, hands-on, and the constraint is tooling rather than time or expertise.

The catch: software does not reconcile anything. It records what it is told. Every one of the accounts above that will not tie was, at some point, being managed by perfectly good software.

How to choose between firms once you have picked the category

Every firm in this space says accurate, responsive and experienced. None of that separates them. These questions do.

Ask what happens when a reconciliation will not come to zero. This is the most revealing question you can ask anybody who touches your books. The right answer is that the work stops and the difference gets found. If you hear anything about an adjusting entry to make it balance, you have your answer. A forced reconciliation hides the exact thing you needed to know, and it does it permanently, because now the books say the account is clean.

Ask how they handle three-way reconciliation. If there is any hesitation about what that means, they do not do property management accounting, whatever the website says.

Ask who does the work and who reviews it. Not out of snobbery about location. Because one person doing and checking is not a control, and this is regulated money.

Ask what they do when they cannot answer a question from the records. Every real portfolio generates transactions nobody can categorize without asking the owner. The honest answer is that those get held and asked about. The dishonest answer is that they get coded to something plausible, which is how you end up with a Repairs account nobody trusts.

What actually drives the cost

Worth knowing regardless of who you hire, because it is not what people expect.

It is not the number of properties. It is the number of accounts, because every bank account and every card is a separate reconciliation every month. Four properties running through one account is a smaller job than two properties across five accounts.

After that: how many months are in scope, transaction volume, and how much paper actually exists. That last one is the one that surprises people. You cannot reconcile a month you have no statement for, and most banks only keep twelve to twenty-four months available online. If the statements have to be requested from an archive, that timeline is set by the bank and no amount of money speeds it up.

The honest summary

If AppFolio itself is configured wrong, hire people who know the platform deeply, and the firms with former platform employees have a real edge there. If the platform is fine and the accounting behind it has drifted, hire an accounting specialist and ask the five questions above. If it is purely capacity and your setup is sound, a reviewed offshore team may be the most economical answer you will find.
